Privacy Policy

1. Who we are
AIDE is a software-as-a-service platform operated from the United Kingdom. We provide a career automation platform for independent music artists, accessible at aide.software. For the purposes of UK data protection law, AIDE is the data controller in respect of your personal data.

2. What data we collect
We collect the following categories of personal data:
Account & identity data
Your name, email address, and password (stored as a secure hash) when you create an AIDE account.
Artist profile data
Your artist or project name, genre, location, career stage, and Spotify artist URI. This is provided voluntarily during onboarding and is used to power AIDE’s automations.
Connected platform data
OAuth tokens and metadata for third-party accounts you link to AIDE, including Spotify for Artists, YouTube, TikTok, and SubmitHub. We access only the permissions you grant and use them solely to operate the automations you have subscribed to.
Billing & payment data
Subscription status, billing history, and Paddle customer/subscription identifiers. We do not store your card details — payment processing is handled entirely by Paddle, who act as Merchant of Record.
Usage & activity data
Actions performed by AIDE on your behalf (submissions made, pitches sent, opportunities delivered), recorded in your activity feed. Also standard server logs including IP address, browser type, and page views.
3. How we use your data
We use your personal data to:
- Create and manage your AIDE account
- Operate the career automations you subscribe to, including sync licensing submissions, SubmitHub pitching, YouTube SEO optimisation, TikTok Sounds distribution, Spotify editorial pitching, and live show opportunity matching
- Generate release strategy intelligence and ad targeting reports tailored to your music
- Process payments and manage your subscription via Paddle
- Send transactional emails (welcome, subscription confirmation, activity notifications) via Resend
- Provide customer support and respond to enquiries
- Detect and prevent fraud, abuse, or unauthorised access
- Comply with applicable legal obligations
4. Legal basis for processing
Under UK GDPR, our lawful basis for processing your data is:
- Contract — processing necessary to provide the AIDE service you have subscribed to
- Legitimate interests — fraud prevention, service security, and improving our platform
- Legal obligation — where we are required to process data by law
- Consent — where you have specifically opted in (e.g. marketing communications)
5. Third-party processors
We share your data with the following sub-processors, solely as necessary to operate AIDE:

We do not sell your personal data to third parties.
6. Data retention
We retain your account data for as long as your subscription is active or as needed to provide the service. If you cancel your subscription, we retain your data for 90 days in case you wish to reactivate, after which it is deleted or anonymised. Billing records may be retained for up to 7 years to comply with UK financial regulations. You may request earlier deletion at any time (see Section 8).
7. Cookies
AIDE uses essential cookies only — specifically, a session cookie to keep you logged in. We do not use advertising cookies or third-party tracking. You can disable cookies in your browser settings, but doing so will prevent you from logging in to the platform.
8. Your rights
Under UK GDPR, you have the right to:
- Access the personal data we hold about you
- Correct inaccurate or incomplete data
- Request erasure of your data (“right to be forgotten”)
- Restrict or object to certain processing
- Data portability — receive your data in a structured, machine-readable format
- Withdraw consent at any time where processing is based on consent
To exercise any of these rights, email privacy@aide.software. We will respond within 30 days. You also have the right to lodge a complaint with the Information Commissioner’s Office (ICO) at ico.org.uk.
9. Security
We implement appropriate technical and organisational measures to protect your personal data, including encryption at rest and in transit, Row Level Security on our database so users can only access their own data, and restricted access to production systems. No method of transmission over the internet is 100% secure; we encourage you to use a strong, unique password for your AIDE account.
10. Changes to this policy
We may update this Privacy Policy from time to time. We will notify you of material changes by email and by posting the updated policy on this page with a revised “Last updated” date. Continued use of AIDE after the effective date constitutes acceptance of the updated policy.
